Student Card Matters

In the course of your candidature at NUS, you may have cause to need one of the following services associated with the Student Card:

1. Re-set PIN 
   
2. Re-personalization of Student Card
 
  • In this instance, there is no change of card involved.  You will need to re-personalize your student card if one of the following has occurred as it will affect your access to enter certain rooms/buildings within the University:
  • your maximum candidature has been extended; or
  • you have had a change in your registered Department (applicable to graduate research students only).
3. Replacement of Student Card
 
  • You will need a new student card in the following situations:
  • your card was defective when you first received it;
  • your card has been damaged due to wear and tear;
  • there has been a change in the information that is printed on your card (e.g. Name, Faculty/Degree); or
  • you have lost your card.
   
   
1. Re-set PIN
   
  Every student card is issued with a Personal Identification Number (PIN).  If you should forget your PIN, you can easily retrieve it via the PIN Retrieval system with your NUS email userid and password.  Your PIN will then be sent to you via email at your NUS student account.
   
2. Re-personalization of Student Card
     
 
(a)
You will need to work with the respective office* to submit a card re-personalization request to the Smartcard Operator.  When the request is accepted, you will be informed of your Request ID via an email sent to your NUS student account.
   

*For Undergraduate, Graduate Research and Non-graduating students – Registrar’s Office;
For Graduate Coursework students – Department/Faculty/School/Institute/Centre

     
 
(b)
Please bring along a printed copy of the email with the Request ID and your student card to the Smartcard Operator (located at ITCare, Level 1, Computer Centre). 
     
 
(c)
Your card will be returned to you on the same day when the re-personalization process has been completed.
   
3. Replacement of Student Card
     
  3.1 Defective/Damaged Card
       
   
(a)
First approach the Smartcard Operator (located at ITCare, Level 1, Computer Centre) to check your card.
       
   
(b)
Once your student card is verified to be faulty, the Smartcard Operator will submit a request for a replacement card for you.
       
   
(c)
The processing time is normally 7 working days from the date of request.  You will be informed via email to your NUS student account once your new card is ready for collection at the Smartcard Operator counter.
     
  3.2 Change of Details
       
   
(a)
If there are any changes to the information that is printed on your student card (e.g. your Name, Faculty/Degree), please approach the respective office* to submit a replacement card request to the Smartcard Operator on your behalf.
     

* For Undergraduate, Graduate Research and Non-graduating students – Registrar’s Office;
For Graduate Coursework students – Department/Faculty/School/Institute/Centre

       
   
(b)
Once the new student card is printed, you will be informed via an email to your NUS student account.  Please bring along a printed copy of the email with the Request ID and your current student card to collect your new card from the Smartcard Operator (located at ITCare, Level 1, Computer Centre).  Please note that you will have to surrender your old student card at the point of collection.
     
  3.3 Lost Card
     
    Reporting Loss
       
   
(a)
Please log on to the Online Lostcard Management System to make a report regarding the loss of your student card.  Once a report has been made, both the Library and Office of Student Affairs will be alerted via email to prevent anyone from misusing your lost card should they find it.
     
   

Application for Replacement

       
   
(b)
Application for a replacement card is also done using the same online system.  However, you may want to wait for a few days before making the application in case your card is found and returned to you.
     
   
Replacement Fee and Mode of Payment
       
   
(c)
A fee of S$15.00 (exclusive of prevailing Goods and Services Tax) is payable for each replacement card application.  You may choose one of the following payment modes:
       
     

(i) To pay by NETS or Cashcard

     
  • Please bring along a printed copy of the prescribed payment form (which will be shown when you select this payment mode at the online system) to either the Student Service Centre (SSC) or the Bukit Timah Campus Management Office (BMO).
     
  • The location and operating hours of SSC and BMO are as follows:

    • Student Service Centre (SSC)

  • With this payment mode, the application for replacement card will only be processed upon receipt of full payment.
     

(ii) To pay by cash

  • Please note that cash payment is only available at SSC. With this payment mode, the application for replacement card will only be processed upon receipt of full payment.
   
Processing Time
       
   
(d)

The processing time is normally 7 working days from the date of request.  You will be informed via email to your NUS student account once your new card is ready for collection.

     
   

Cancellation of Online Application and Refund of Replacement Fee

       
   
(e)
Please notify the respective office* if the original student card is found within 7 working days of submitting your replacement card request.  However, please note that the replacement application cannot be cancelled nor can the fee paid be refunded if the replacement card has been printed at the point of notification.
