What are Personal Folders

If you are a NUS Staff who have to work with Microsoft Outlook to check your emails, there is a 90% chance that you should have come across the term "Personal Folders". Personal folders are such wonderful thing about Microsoft Outlook that you can use to manage your mailbox efficiently.

Personal Folders file format, called Microsoft Outlook Personal Folders file (.pst) is introduced that offers greater storage capacity for items and folders. They resides on your personal harddisk which means you can store as many mails you would like as long as your harddisk can take them.

You can organize your mails easier through personal folders by giving them appropriate names so you don't waste time searching for the emails you need. You can separate Personal Folders for your research documents, payroll, reports, etc and can even create further sub-folders within these Personal Folders.

Important Notes
  • Personal Folder is kept in your local hard disk. It is your responsibility to ensure that the file is safe and correct.
  • The Personal Folder file is not protected. You must ensure the safety of the file.
  • If you apply a password to the Personal folder, you must ensure that you remember the password.
  • If you forget the password, the Exchange Administrator has NO way to restore the Personal Folder.
  • To backup the Personal Folder, you need to quit Outlook. You can then copy the Personal Folder file (the path is indicated earlier) to another location, e.g. zip disk, CD-R, CD-RW etc.
